Position: Finance and Administration Officer

Duration: One year renewable with the probation period of first 3 months

3T Rwanda is working closely with the Rwanda Ministry of the Environment to align with the country's environmental targets and commitments, such as restoring 2 million hectares of degraded land by 2030. In 2024, the Company launched an agroforestry pilot project of 100 ha in Burera and Gicumbi Districts and plans to scale it up to 15000 ha in the same districts.
In this regard, 3T Rwanda is looking for a qualified, passionate and experienced candidate to fill the Finance and Administration Officer (FAO) role. Under the direct supervision of the Country Director, the FAO will have the following specific responsibilities:
Responsibilities
To provide secretarial and administrative support to the 3T Country Director,
To attend 3T Management meetings, take minutes, distribute them after the meetings along with any other relevant materials, and participate in other meetings/events in a secretariat capacity as and when required.
Establish and maintain computerized databases of the clients’ contacts, service providers, and other relevant information as required.
Organizing travel and accommodation for the 3T Board, other executive committee members and group coordinators,
Establishing and maintaining filing systems as appropriate in line with the Procedure Manuals of the Company
General administration/clerical support, including photocopying, mail-outs, stationery and equipment supplies and filing,
Maintaining the overall standard of the office space, including liaising with cleaning services and keeping an equipment inventory of all capital, fixtures, and fittings.
Assisting with the promotional activity of the 3T, including responding to information requests from public members and coordinating events and conferences.
To maintain office equipment and liaise with suppliers regarding maintenance and supplies.
Records and maintains accuracy and organisation of assigned employee data, records, and files, including timekeeping, attendance, vacation, sick days, leaves, disciplinary actions, and other necessary employment information in HR information system,
Assist in recruitment and hiring tasks including, but not limited to, job postings, employment applications and related record keeping and new employee orientation,
Prepares and monitors the daily financial operations such as payroll, invoicing, and other transactions with other 3T branches.
Prepares financial reports by collecting, analysing, summarising information and reconciling any discrepancies
Support the Country Director to contract outside services for tax preparation, auditing, banking, investment
Support on other duties as required
COMPETENCIES

Promote the vision, mission, and strategic goals of 3T.
EDUCATION
University degree in accounting, management, business administration, finance or related field
3 years of experience in accounting and administrative role
Office management experience, including employee management and demonstrated understanding of data privacy standards
Strong computer literacy skills, with an advanced knowledge of Microsoft Office Suite and SAGE software systems, are an asset.
WORK EXPERIENCE
Minimum of 3 years of work experience in administration and/or finance,
Experience working secretarial duties within international organizations, donors, medium sized business or government institutions.
